My lawful reasons for using your information

UK data protection law requires me to have a lawful reason for using your personal information.

Depending on the circumstances, I may rely on:

Contract

When you book a session, purchase a course or programme, or ask me to take steps before entering into a contract, I need to use certain information in order to provide that service.

For example, I need your name and contact details to manage a booking and communicate with you about it.

Legal obligation

I may need to retain or use certain information to comply with legal obligations, including tax, accounting and financial-record requirements.

Consent

Where appropriate, I may ask for your consent.

This may include receiving certain marketing communications or providing optional information.

Where I rely on your consent, you may withdraw it at any time.

Legitimate interests

In some circumstances I use information because I have a legitimate business reason for doing so, provided that this does not unfairly override your rights and interests.

This may include:

  • responding to enquiries;

  • managing and improving the website;

  • maintaining website security;

  • preventing misuse or fraud;

  • maintaining appropriate business records;

  • understanding how my services are used;

  • communicating appropriately with existing clients or customers.

Where I rely on legitimate interests, I consider whether my use of the information is necessary, reasonable and something you would reasonably expect.

Health and other sensitive information

Some of my work involves counselling, meditation, experiential programmes, body-based practices or other personal-development work.

As a result, you may sometimes choose to share information about your physical health, emotional wellbeing, psychological history or other sensitive personal circumstances.

This type of information is treated with particular care.

I will only use it where there is an appropriate legal basis and where it is relevant to providing the service, supporting your participation, maintaining appropriate records or meeting legal or professional obligations.

Please do not send sensitive personal information through a general website enquiry form unless it is necessary.

Purchases

When you purchase a course, programme, session or other service through this website, I may collect:

  • your name;

  • email address;

  • telephone number;

  • billing address;

  • details of what you purchased;

  • payment and transaction information.

This information is used to process your order, provide the service you purchased, communicate with you about your purchase and maintain appropriate financial records.

The website and online shop are hosted by Squarespace, which processes information necessary to operate the website and commerce system.

Payment information is processed by third-party payment providers.

I do not receive or store your full payment-card details.

Bookings and appointments

When you book an appointment or session through Zoom Scheduler, Zoom may collect information such as your name, email address, telephone number, appointment choice and any information you enter into the booking form.

This information is used to arrange and administer your appointment, send confirmations and reminders, and provide information relating to your booking.

Zoom processes information in accordance with its own privacy policy and the agreements governing its services.

Forms and enquiries

When you complete a form on the website or contact me directly, I collect the information you choose to provide so that I can respond to you.

This may include your name, email address, telephone number and the contents of your message.

Website form submissions may also be processed by Squarespace as the website-hosting provider.

Customer accounts

If you create a customer account on this website, information may be stored so that you can access purchases, manage account details and make future transactions more easily.

This may include your:

  • name;

  • email address;

  • billing details;

  • contact information;

  • order history.

Customer-account information is processed through Squarespace.

If you subscribe to receive emails from me, I may use your name and email address to send you news, information about courses and programmes, or other relevant updates.

You can unsubscribe at any time by using the unsubscribe link in an email or by contacting me directly.

Transactional emails — such as booking confirmations, receipts, programme information or changes to a service you have purchased — are not marketing emails and may still be sent where necessary to provide the service.

Website analytics

I use website analytics to understand how visitors use the website and to improve its content and performance.

Information collected may include:

  • your browser and device type;

  • approximate location derived from your IP address;

  • pages visited;

Third-party services

I use trusted third-party providers to help operate my website and services.

  • website hosting and commerce;

  • payment processing;

  • appointment scheduling;

  • video-conferencing;

  • email communications;

  • analytics;

  • accounting or administration;

  • cloud storage.

Examples may include Squarespace, Zoom and Zoom Scheduler, Google and payment-processing providers.

These providers may process personal information on my behalf or, in some situations, as independent data controllers.

I only share information that is reasonably necessary for them to provide the relevant service.

International transfers

Some of the organisations I use may process or store information outside the United Kingdom.

Where personal information is transferred internationally, I take reasonable steps to ensure that appropriate protections are in place, such as recognised adequacy arrangements or approved contractual safeguards, where required by law.

How long I keep your information

I do not keep personal information for longer than is reasonably necessary.

Retention periods vary depending on the type of information and why it is held.

For example:

  • enquiry information may be kept for as long as reasonably necessary to deal with the enquiry and any follow-up;

  • booking and customer information may be retained while you are receiving services and for an appropriate period afterwards;

  • financial and transaction records may be retained for the period required by tax and accounting law;

  • marketing information may be retained until you unsubscribe or ask me to stop using it;

  • information relevant to professional or legal responsibilities may be retained where there is a genuine need to do so.

When information is no longer needed, I will delete it or anonymise it where reasonably possible.

How I protect your information

I take reasonable technical and organisational measures to protect personal information against loss, misuse, unauthorised access, alteration or disclosure.

However, no online system or method of electronic communication can be guaranteed to be completely secure.

Confidentiality

Information shared with me in the context of counselling, therapeutic, mentoring or personal-development work is treated confidentially.

There may be limited circumstances where confidentiality cannot be maintained, for example where disclosure is required by law or where there is a serious safeguarding concern.

Where relevant, further information about confidentiality may also be explained as part of the individual service or professional agreement.

Sharing your information

I may share personal information where this is reasonably necessary with trusted service providers who help me run my business.

I may also disclose information where:

  • I am legally required to do so;

  • it is necessary to protect someone's safety;

  • it is necessary to prevent or investigate fraud or unlawful activity;

  • it is necessary to establish, exercise or defend a legal claim.

I do not sell your personal information to third parties.

Under UK data protection law, you may have rights including the right to:

  • ask for a copy of the personal information I hold about you;

  • ask me to correct inaccurate or incomplete information;

  • ask me to delete your information in certain circumstances;

  • ask me to restrict how your information is used;

  • object to certain uses of your information;

  • request transfer of certain information to you or another organisation;

  • withdraw consent where I rely on consent;

  • object to direct marketing at any time.

These rights do not apply in exactly the same way in every situation, and there may sometimes be lawful reasons why information must be retained.

To exercise any of these rights, please contact:

angela@angelaharrison.uk
